E-rate and E-schedule initiatives

 

¡P      E-rate and E-schedule initiatives to enhance your operations efficiency

 

During the day-to-day operations, member forwarders give their best endeavor to simplify the work process for better efficiency. In managing the numerous information such as freight rate and schedule provided by various carriers, we were informed that European forwarders have focused on enhancing electronic data management by developing a standard e-rates sheet, which has been successfully implemented in major European countries. As such, HAFFA has developed standard format for E-rates and E-schedule which are suitable for the Hong Kong industry, and the subject initiatives were discussed at length between HAFFA and the BAR-CSC.

 

Today we are delighted to announce that both associations have agreed to distribute and explain the usage of said templates to their members, and we strongly encourage interested HAFFA members to read through the steps below and contact your business related airlines with an aim to establish this between interested parties. Although the initiatives are solely a commercial exercise between member companies and their airlines, we believe, in the long run, will achieve an effective management for both carriers and forwarders by collaboration and co-ordination on information sharing and process automation.

 

Essential steps for interested member forwarders and airlines to follow:

 

(1)     Participating forwarder to invite his business-related airlines to consider implementing the subject initiatives (may use the sample letter below).

(2)     Participating forwarder to create in their internal system one centralized e-mail account for e-rate (eg. e-rates@abcforwarding.com).

(3)     Participating forwarder to create in their internal system another centralized e-mail account for e-schedule (eg. e-schedule@abcforwarding.com).

(4)     Participating airline will use e-rate template to indicate their standard or net or promotional rates. Use e-schedule template to indicate the flight schedule related information.

(5)     Participating airline will send the latest e-rate and e-schedule sheets to his business-related forwarders via the pre-designated email accounts (i.e. e-rates@abcforwarding.com and e-schedule@abcforwarding.com) on a real time basis.

(6)     Participating forwarder will upload the latest rates and schedule into their internal computer system and get an automatic up-date on rates and schedule.
